Send a Message

  • Communicate with a contact
    To communicate with a contact, double click the contact in the Contact List. A pop-up dialog box will appear. Enter the text in the bottom-left box, press "Send," and the message will reach the contact.

  • Send message to a group
    Choose a group in the Contact List, right click, then choose the menu Send Message to All, enter the message in the dialog box, and click "Send." All the contacts in this group will receive your message.

  • Quick Messages
    TradeManager

    Quick Messages function simplifies repeating standard greetings. When you start talking to a contact, click Quick Message in the dialog box, and select the ones we set for you. Default ones are:

    Can you arrange shipment?

    What's your regular email address?

    I will contact you tomorrow.

    Can we talk another time?

    Nice to meet you!

    You are also allowed to customize new messages.

  • Offline Messages
    If somebody sends you a message when you are offline from TradeManager, there will be a pop-up window indicating there is a message waiting. Follow this sequence to check offline messages: Click the contact's name in the Contact List, then go into the menu and click "Contacts." Then click "View Offline Messages." Offline messages will be saved under the sender's name in the All Messages section.

  • Read Receipt
    To confirm the receiver has received your message, you can check the Request Read Receipt option prior to sending the message. The receiver can choose to send you a receipt or not. These messages will be saved under the sender's name in the All Messages section.

Conference

Starting a conference is simple, and there are several ways to do it. If you want to talk to several people all at once and start a conference call with them, you first need to select menu Contacts-> Invite to Conference, and select participants from your Contact List. Once they have been selected, click the Invite button. If and when these participants accept your invitation, they will be added to the conference.

If you are already in an active conference and would like to add additional participants, click "Invite More," and select the person you want to add to the conference from your contact list. Or, simply right click a new contact from your Contact List and choose "Invite to Conference."

Remember that the host of the conference (the person who initiated it) is the only person who can add new participants.

Storing Unlimited Messages in Message Center

Your Message Center Inbox can hold unlimited messages. Messages from the last 90 days are listed in your Inbox, while all prior messages are stored chronologically and can be accessed by using the drop-down menu on the tool-bar. Inquiries and Quotations older than 12 months will be automatically deleted.

File Transfer

Buyers and suppliers usually require a product photo and/or price list. With TradeManager, sending them is easy: Open a dialog box with a contact, click "Send File," select the file, and click "Send."

The file maximum size is 100 Megabytes.

All Messages

All of your communication history will be saved in the All Messages section of TradeManager. You can view your history by clicking Recent Messages in the dialog box. Click "All Messages" and you will see communication histories with all contacts and non-contacts, as well as file transfer records.

You can choose to delete older histories by entering the number of desired days in the menu of File->Archive.

Card

In the dialog box, you can view the contact's name, company and his/her membership type. You can click the company name to view his/her company profile on Alibaba.com if it has been published.

Showroom

In the left of the dialog box beside the Card tag there is a Showroom tag. Click it and you can view the contact's selling leads immediately.

Auto Reply

If you have not used your computer for a short while, TradeManager's status will automatically change to Idle. If a contact sends you a message, TradeManager will send an auto reply indicating your status. Go to menu File->Preferences->Auto Reply to customize your auto reply messages.
